CASE STUDY
Streamlining Customer Data Management for a Leading Telecom Provider
Introduction
Our client, a leading telecommunications provider in Mali, undertook a critical data migration project to modernize its customer data management system. Hoonartek, a trusted data migration partner, collaborated closely with the Client to achieve this goal. The objectives of this initiative were to:
- Centralize and organize customer data: Move customer information from legacy systems into a unified platform for easier access, analysis, and utilization.
- Enhance data quality and integrity: Improve the accuracy, completeness, and consistency of customer data across different customer information categories.
- Support future growth plans: Establish a robust and scalable data management system to accommodate future customer base expansion and new service offerings.
This case study explores the challenges encountered during the migration, the collaborative approach used to address them, and the significant outcomes achieved.
The Business Challenge
Migrating a large volume of customer data to a new system presents several hurdles. Our client faced the following key challenges:
- Data Quality Assurance: Ensuring the accuracy and consistency of customer data from various sources is crucial for successful migration and subsequent analysis. Issues like missing values, duplicate entries, and formatting inconsistencies can significantly impact data usability.
- Data Validation: Verifying the integrity of the migrated data before transitioning it to the live environment is essential to minimize errors and potential disruptions to customer service operations. Robust validation processes are needed to identify and rectify any data quality issues before they impact real-world scenarios.
- System Integration: Seamlessly integrating the new data management system with existing infrastructure and processes is critical to avoid hindering ongoing business operations. Billing systems, service delivery platforms, and other critical systems needed to be carefully integrated to ensure uninterrupted service during and after the migration.
- Collaboration: Effective communication and coordination between internal teams at Our Client’s organization and data migration experts were essential for successful project completion. Clear roles, responsibilities, and communication channels were established to ensure smooth collaboration throughout the migration journey.

Joint Solution Discovery & Implementation Plan
To overcome these challenges and achieve a successful data migration, Hoonartek and Our Client adopted a collaborative approach with the following key strategies:
- Big Bang Migration Approach: The migration process was divided into distinct phases including data discovery, data validation and correctness with data integrity as per the business processes and the target system rules. The big bang approach provides better control over the overall migration process with minimal disruption in BAU processes and also negates maintaining two systems (AS-IS and TO-BE) during the entire duration when a phased migration approach is chosen.
- Data Quality Checks: Implementing data quality checks throughout the migration process was crucial. These checks aimed to identify and rectify inconsistencies in customer data before loading it into the new system. Techniques like data profiling, data cleansing, and data validation tools were employed to ensure data accuracy and completeness.
- Automated Data Validation: Leveraging automated tools to perform basic data integrity checks on all customer records is a valuable approach. These tools can identify missing fields, invalid formats, and other potential data quality issues that require further investigation or manual correction.
- Potential Manual Review: While automated checks are efficient, complex data quality issues or situations requiring human judgment might necessitate manual data review processes. Data specialists kept reviewing and rectifying specific data quality concerns that couldn’t be addressed through automation.
- Full Volume Checks & Final Cutover: Once the migration process has been established and validated in parts, the entire set of data is processed to test the overall migration process including performance. In agreement with the business teams for the reports of full volume, a cutover plan is executed where the AS IS system gives way to the TO BE systems.
Outcomes
The successful completion of the data migration project yielded several significant outcomes:
Improved Data Management
By migrating to a new data management system, Our Client has potentially enhanced data organization, accessibility, and analysis capabilities. This improved data foundation can empower data-driven decision-making across various business functions, leading to more targeted marketing campaigns, optimized service offerings, and enhanced customer experiences.
Enhanced Customer Service
Accurate and complete customer data in the new system can empower Our Client to provide more personalized and efficient customer service. With improved access to customer profiles, service history, and preferences, customer service representatives can deliver faster resolution times and more tailored support experiences.
Foundation for Growth
A robust and scalable data management platform is a critical foundation for future growth. The new system can accommodate future customer base expansion and the introduction of new service offerings. As Our Client seeks to expand its reach and introduce innovative services, the migrated data platform can provide the flexibility and scalability to support these endeavors.
Industry Perspective
Data migration projects in the telecommunications industry require specific considerations beyond the core technical challenges. Our client had to navigate the following industry-specific considerations:
- Data Privacy Regulations: Adherence to relevant data privacy regulations throughout the migration process is paramount. Measures were likely implemented to ensure customer data privacy and security throughout the migration journey.
- Business Continuity: Minimizing disruption to ongoing customer service operations and ensuring service availability during the migration is crucial. Careful planning, scheduling, and communication strategies were likely implemented to minimize downtime and service interruptions.
- System Integration: Seamless integration with existing billing, service delivery, and other critical telecommunication systems is essential to avoid hindering core functionalities. The new data management system needed to be carefully integrated with these existing systems to ensure continued smooth operation.
